  • Travel co-ordination
  • Provide general administration support for Mediaocean employees
  • Provide support to senior directors as required
  • Reception support, answering general call enquiries and greeting visitors
  • Security access administration
  • Creating access passes for new staff and deactivating leaver’s access
  • Meeting co-ordination-internal and external meetings
  • Provide support for meeting room AV issues
  • Diary management for senior managers
  • Preparing schedules for overseas visitors
  • Format PowerPoint presentations
  • Bind booklets for training/presentations
  • Ensure all meeting rooms are correctly set up and equipment working
  • Use Visio to produce organigrams and other charts
  • Liaise with designers/printers for any marketing material
  • Sourcing promotional material
  • Back–up and archiving of security systems
  • Co-ordinate induction training timetable
  • Co-ordinate all in house training courses (H&S, Fire, Equal Ops etc)
  • Maintain stock levels of stationery supplies and reorder as necessary
  • Internal/external events organization
  • Provide backup to post room – franking and distributing mail
  • Report facilities/fabric issues on building help desk online portal
  • Backup for training coordination for UK training
Skills & Requirements

  • Intermediate knowledge of MS Office
  • Experience of electronic diary management
  • Experience of client contact database management useful
  • Excellent organisation skills
  • Excellent attention to detail
  • Solid typing skills
  • Ability to work in a team
  • Desire to learn and develop new skills
