Executive Assistant

The Executive Assistant will handle a wide range of administrative and executive support related tasks and will work independently with little or no supervision. The Executive Assistant must be well organized, professional, flexible and enjoy the challenge of administratively supporting C-level executives. The Executive Assistant will interact with PowerSchool executive staff, senior management, and team members in a fast- paced environment. A high level of professionalism and confidentiality is crucial to this role.

 

Duties and Responsibilities:

  • Responsible for heavy calendar management and coordination of a variety of complex executive meetings and company/departmental meetings
  • Manage all meeting details such as room reservations, preparing agendas, ensuring dial in detail are secured or any IT equipment, initializing presentations, catering and attendee updates
  • Prepare extensive domestic and international travel arrangements including air, hotel, ground transportation and itineraries for executives
  • Manage a variety of special projects under the direction of the Executive or Administrative Manager, prioritizing and following through these projects in a timely manner
  • Collecting and prioritizing the submission of expense reports for executives ensuring all guidelines are followed and payment of such expenses is delivered on time
  • Attends departmental meetings, taking notes as requested by Executive
  • Maintain and protect confidential corporate information and communicate information within scope of authority
  • Communicate and handle incoming and outgoing electronic communications on behalf of the executives
  • Time to time fulfillment of personal tasks, as required

 

Qualifications include:

  • 3+ years of experience as an Executive Assistant for a C-Level Executive
  • Must be able to take direction, clarify if uncertain of requests, and make appropriate notes to understand and appropriately respond to Executives’ and Administrative Manager’s business needs and interface effectively and/or collaborate with others
  • Demonstrated ability to analyze information and provide advice, solutions and recommendations on decisions
  • Ability to take initiative and accountability for the accuracy of information and for achieving results
  • Must be highly organized and detail oriented
  • Take ownership of assigned projects and manage from beginning to completion with little direction
  • Anticipate the needs of the Executives and Administrative Manager and coordinates/plans for future needs
  • Gather feedback and continuously makes improvements to work processes and practices
  • Continuously reprioritizes numerous projects at one time, while keeping the Executives, their directs and Administrative Manager updated on progress
  • Maintain a sense of urgency when responding to internal and external stakeholders
  • Ability to determine what needs to be done and who needs to be involved in a timely manner
  • Be self-motivated and able to work with little or no supervision
  • Possess strong interpersonal skills, as well as a strong customer service perspective (internal, as well as external) and can handle issues with respect, dignity, sensitivity and urgency
