Proposals Manager

The RFP Coordinator leads the response development effort in accordance with departmental standards and the specifications of Requests for Proposals, Requests for Information, and Requests for Qualifications. Coordinates the scheduling and production of RFP responses, RFI responses, and occasional proposals by working with sales, sales support, product, operations, engineering, and administrative staff.


Create response documents per RFP guidelines and specifications and determine the schedule for all team members to prepare responses.

Assign sections of the RFP to team members; maintain, track, and update status of proposal development efforts to ensure accurate and timely submittals. Monitor any changes to procurement schedule and/or content and communicate changes to all team members to ensure deadlines are met.

Respond to portions of the RFP using boilerplate materials, standard operational, functional, and technical responses.

Ensure that RFP, RFI, and proposal responses are in full compliance with agency specifications. Ensure that all written materials are well-written, grammatically correct, consistent in voice and terminology, and accurate.

Maintain RFP response template to keep it current with advances/changes in ZT products and services. Maintain and update a library of boilerplate content that can be reused and easily modified for unique requirements.

Use salesforce.com to track all documents associated with each opportunity, including RFPs and RFIs received, RFP and RFI responses shipped, and any unique documentation provided to the agency.

Assist with proposals, contracts, and other technical writing as needed.

Other responsibilities as required.

Skills & Requirements


Education: Bachelor’s degree in communications, English, technical writing, or equivalent experience preferred.

Professional Certification(s):

Specialized knowledge: Experience with Adobe Creative Suite and Saleforce.com helpful

Computer skills: Advanced experience with Microsoft Office tools and proficiency working with Word templates and document styles.

Experience (years and type): Minimum four (4) years of experience in performing multiple functions described in duties above with experience in coordinating and supporting collaborative team efforts. Prior writing, management and/or coordination experience from a sales or technical background required. Must be highly organized and possess excellent project management, writing, and editing skills; strong analytical skills and ability to think independently; presentation, reasoning, and problem-solving skills; ability to gain internal support, and establish a solid working relationship with supported staff, managers, and peers.

Effective oral and written communications skills are essential. This position must be able to interact with all levels of personnel and proposal team members.
