Role Summary:

The Senior Project Manager is responsible for the successful management of customer projects and engagements involving the Allocate product portfolio. Projects may be a single standalone project for a client, or form part of a wider programme of activity.

As well as maintaining an excellent relationship with clients, key activities include: ensuring the effective utilisation of assigned resources; ensuring compliance with governance/quality requirements and management of risk.

• The Senior Project Manager will have line management responsibility for Consultants, Analysts and Project Managers. They will have full ownership of projects from outset to completion and be responsible for sign-off of timesheets and expenses in relation to those projects.
• The Senior Project Manager will have excellent leadership and organisational management skills, with an ability to take a disciplined approach to ensuring routine processes and procedures are consistently followed at all times.
• The Senior Project Manager will be required to own and take full responsibility for the mitigation of risks and issues escalated to them from their team, engaging autonomously with senior individuals within the client base where required.
• The Senior Project Manager will be expected to be fully familiar with and manage all implementation and Services engagements for the given products and offerings within their portfolio. They will also be expected to take a proactive approach to increase depth and breadth of knowledge, extending to other products outside their own given portfolio.


Project Preparation and Delivery:

Liaise with Regional and Account Managers from Sales to maintain visibility of up and coming sales;
Raise requests for project codes accurately and appropriately for projects within their remit;
Produce and maintain project plans and other project governance documentation;
Keep internal scheduling and forecasting tools fully updated on a weekly basis;
Ensure that Project Highlight Reports are being kept up to date using for projects in progress;
Deliver initial Mobilisation client calls and on-site Kick-Off meetings;
Participate in regular update meetings with Programme Managers;
Ensure that projects are completed on time and on budget;
Identify risks and issues, including slippages to timelines, project overruns, product issues, and other activity that requires rework;
Taking mitigating action in response to risks and issues, escalating where required;
Maintain regular communication with clients on progress calls as required;
Coordinate and participate in the production and maintenance of high quality Project Management documentation and Sales collateral;
Ensure project folders are maintained including email correspondence Ensure Project Completion Reports are received in a timely manner, stored and summary information recorded;
Ensure that Project Handovers are completed, including the transition and any outstanding items followed up;
Attend a utilisation call on a weekly basis to review and share resources to maximise efficiency;
Attend fortnightly portfolio review meetings with the Head of Services. 

Team Motivation and Performance:

Motivate and lead staff to produce excellent results in all aspects of delivery involved with the implementation of projects;
Inspire individuals to take on new challenges and learn new skills;
Demonstrate a differentiated approach to the management of both junior and senior staff, providing an appropriate level of intervention and support in each case;
Make staff feel valued and key members of an efficient and effective Services delivery team;
Provide project performance feedback to the UK Services Director on individual resources for performance review purposes;
Ensure that client feedback received (positive and negative) is reviewed and acted on where appropriate;
Review the Services Roster on a weekly basis to ensure both current and future information is accurate;
Take responsibility for ensuring that Analysts, Consultants and Project Managers remain fully utilised, taking action proactively to mitigate issues;
Maintain own required utilisation levels, using remaining available time to complete billable project activity.

Role Relationship to other functions in Allocate:

It is essential that the Senior Project Manager is able to quickly develop an excellent matrix of relationships within the company.

Relationship with Sales:

The Senior Project Manager will need to build strong relationships with individuals from the Sales team, in particular the Regional Managers, arranging and overseeing where necessary briefings and handovers, ensuring expectations are clearly set in the sales process and the client perceives a ‘seamless’ transfer between Sales and Services staff.
Where a Regional Manager has raised an issue of a serious nature, the Senior Project Manager is the first point of escalation and is expected to manage the issue quickly and effectively, communicating progress to necessary stakeholders as required.
It will be necessary to provide information to Sales team regarding details of implementation approach and methodology, as well as to assist Programme Managers by providing estimations where required in relation to requests for proposals.

Relationship with Development / Product Management:

The Services Team provides a valuable opportunity to capture feedback from customers on existing products and ideas for enhancements or even further products. The Senior Project Manager will be expected to oversee knowledge sharing with the Product team for products within their remit, ensuring Product Leads and Project Managers are completing their commitments in this respect.
The Senior Project Manager will ensure that team members are capturing and communicating feedback from customers and this is being collated in a coherent format, before being shared and discussed with the Product Managers within the Development team.

Relationship with Support:

Following a formalised handover process, the Senior Project Manager will oversee the liaison with Support to ensure that all delivery criteria have been met for each client implementation to ensure a smooth handover to the Support team.

Skills/Qualifications/Experience Required:

Experience in leading a services or project organisation specialising in systems implementation for multiple concurrent clients;
Educated to tertiary level (or demonstrable equivalent experience);
Recognised Project Management qualification (preferably Prince2);
Strong and accomplished customer facing skills and experience;
Experience in managing difficult situations and escalated risk;
Excellent people management skills;
Experience of working in conjunction with software Sales, Development and Support teams;
Excellent presentation skills;
Excellent verbal & written communication skills;
Good working knowledge of Microsoft Office (including Visio, Word, Excel, PowerPoint, Project).
