Data Privacy Support Specialist

Under direct supervision, this position is responsible providing administrative support by coordinating the processing, input and dissemination of Criminal Justice Information Services (CJIS) documentation both internally and externally as required by CJIS regulations and internal processes.  This position assists in maintaining compliance with applicable state and federal laws as well as CJIS policies and operational procedures.  Position is responsible for scheduling and prioritizing work and providing technical assistance to internal and external customers.  May conduct or co-facilitate applicable training as needed.  Work is subject to general review and supervision by the CJIS Security Officer to ensure conformance with established rules, policies, and procedures. This position is designated as a safety sensitive position.


Responsible for ensuring all required new hires and existing employees receive required CJIS paperwork and are processed for security clearances and CJIS needs required by our customers.

Coordinate and oversee fingerprinting of all CJIS required employees, including scheduling and managing fingerprint provider, reviewing invoices by fingerprint provider for accuracy, and submitting invoices to Accounts Payable.

Maintain all employee files pertaining to security documentation and personal information, ensuring all files and documentation are properly stored and secure per CJIS policy.

Manage paperwork submission to clients – including shipping, faxing, and emailing various secure documents, ensuring receipt and processing by our vendors.

Assist Data Privacy Support Manager ensuring crucial personnel are cleared and expedite paperwork where needed for customers prior to onsite visits or scheduled implementations to those customer locations.

Keep accurate spreadsheets tracking all data regarding security clearances and VPN access for all personnel.

Manage CJIS Online Security Awareness Training and Certification process, notifying employees within one month of their CJIS Certification expiration and ensuring the proper procedures are followed for ensuring employees re-certify, as required, in a timely fashion.

Creating, organizing and maintaining files and folders hard and soft copies.

Oversee administration of DocuSign for CJIS required documents.

Responsible for  maintaining SOP’s for each agencies and internal processing

Attends training courses as offered by the department or as required by law to maintain applicable certifications, remain informed of departmental operations, and to promote improved job performance.

Able to continually pass background check requirements for working on and connecting to public safety information systems.

Skills & Requirements



AA or AS degree

Professional Certification(s): n/a

Specialized knowledge: Criminal Justice Information System knowledge is desired.

Computer skills: Operates a personal computer, general office equipment, or other equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, desktop publishing, e mail, Internet, or other computer programs

Experience (years and type): Typically requires three to four years’ experience or equivalent education. 

Competencies: Works with moderate supervision with some latitude for independent judgment.

 Ability to lift up to 65 lbs. on a regular basis.

 Regular work environment is a climate controlled office.
